Build the agreement map
A SaaS order form may incorporate online terms, a processing addendum, support terms, and product-specific conditions. Record each document and the version said to apply.
Save permitted copies or stable references. A current web page may differ from the terms incorporated when the order was signed.
Extract the purchased scope
Capture users, modules, limits, term, fees, usage charges, support, and renewal. Keep sales descriptions separate from contractual commitments.
Identify any order-specific amendment or precedence language. Ask counsel to resolve conflicts rather than assuming the order always overrides every other document.
Test a usage-limit mismatch
Suppose the proposal describes broad access while the order limits seats or usage. Record the difference and request clarification before reporting the commercial position.

Review exit and renewal together
Read cancellation, auto-renewal, data export, deletion, and transition provisions alongside the subscription term. Identify actions the customer must take and their contractual triggers.
Have the legal team verify timing and applicable requirements before putting actions into the operational calendar.
Produce the procurement decision
Summarise the purchased scope, negotiated changes, open evidence requests, and approved restrictions. Give business owners the obligations they must manage.
Keep the final agreement family in the matter repository. Later renewals should be checked against the actual updated terms rather than an old sales summary.
