Inventory the supplied collection

A dispute folder may contain several copies of the same agreement, some with signatures and others with annotations. Record what was received and from whom before consolidating the working set.

Preserve originals under the team's evidence process. A cleaner working folder should not erase provenance or the differences between copies.

Assign stable document identities

Use an index containing document reference, title, date, source, language, status, and related versions. Keep filenames as an additional field rather than the only identifier.

Record unreadable pages and missing attachments. An index should show the boundary of the material reviewed, not just the files that were easy to process.

Resolve a corrected exhibit

Suppose a corrected exhibit replaces an earlier copy with an omitted schedule. Link the two records and identify which analyses relied on the incomplete version.

Ask counsel to decide the procedural treatment under the applicable framework and directions. The index helps locate the issue but does not determine filing status.

Require each material proposition to identify the document version and source passage used. This prevents a later summary from silently combining a draft clause with an executed schedule.

Where a working translation is used, link it to the precise source version and preserve the translation's review status.

Maintain the index through the matter

When new evidence arrives, add relationships and review actions rather than overwriting the old record. Identify which chronologies or drafts need updating.
