Define the records to preserve
A legal AI workspace may contain source documents, analyses, drafts, and collaborative decisions. Identify which records belong in the approved matter file and why.
Keep retention and legal-hold decisions with the responsible team. An account exit should not accidentally remove material the firm must preserve.
Test the available export
Use a permitted sample to check formats, completeness, source references, and readability. Record what the service exports directly and what requires another approved step.
Do not assume that every view or interaction is included in an export. Identify gaps while the account remains accessible.
Test a source-reference gap
Suppose an exported memo retains a citation label but not the underlying document reference needed to reopen it. Decide how the matter file will preserve the source relationship.
Have a colleague verify that the handover can be understood without access to the original workspace.
Reconcile deletion and closure
Read the applicable terms for active data, backups, logs, and account closure. Record requests, exceptions, and evidence available from the vendor.
Close access through the approved administrative process after the required records have been preserved and checked.
Complete the handover
Save the inventory, export location, verification result, deletion or closure record, and remaining actions. Assign an owner to any unresolved issue.
An exit rehearsal is a practical governance control, not proof of legal compliance. Review the actual professional, client, contractual, and privacy requirements for the matter.
