Define the intended use

A translation for internal understanding is different from one intended for a court, authority, or transaction closing. Record the recipient, purpose, language, and expected format.

Ask the responsible adviser or receiving body to confirm applicable requirements. Do not assume that a translation accepted in one context will be accepted in another.

Prepare a reliable source pack

Supply complete, legible source documents with annexes, stamps, signatures, and relevant attachments. Identify any pages that are missing or difficult to read.

Preserve the original file and its version reference. A translator should not have to guess whether an excerpt represents the complete instrument.

Record material terminology questions

List names, defined terms, technical expressions, and disputed renderings. Include the source passage and why the choice matters to the legal or commercial analysis.

Do not impose a global equivalent where context changes the meaning. Ask the reviewer to resolve each material issue and record the approved treatment.

Separate working output from formal approval

Close the handover record

Save the source, approved translation, discrepancy log, reviewer information, and relevant submission instructions. Check that page and exhibit references remain aligned.

If the source changes, route the affected passages for renewed review. Do not reuse an earlier approval for a different version merely because most of the text is unchanged.
