Select meaningful quality samples

A regional document set may mix clean PDFs, scans, stamps, handwritten notes, and bilingual tables. Sample each format and inspect pages likely to be difficult.

A successful first page does not establish that the entire file was recognised correctly. Include annexes and low-quality scans in the check.

Compare text with the page image

Review reading order, paragraph boundaries, numbers, names, negatives, and footnotes. In bilingual layouts, confirm that text from separate columns has not been combined into one sentence.

Keep the source image available to the reviewer. Extracted text alone cannot reveal every omitted mark or passage.

Test a broken table

Suppose a payment table places an amount beside the wrong milestone after extraction. A later AI summary may confidently report the wrong commercial arrangement.

Check row and column relationships against the original and correct the review input through the approved process. Do not merely ask the model to infer the intended table.

Route failed material

Record pages requiring a better scan, manual transcription, translation review, or another tool. Identify the effect on the legal task.

Do not describe an analysis as complete when material passages were unreadable. A clear boundary lets counsel decide how to proceed.

Preserve quality evidence

Save the checked version, corrections, reviewer, and remaining limitations. Recheck extraction if the source file changes.
